Mileage Reports for Motive

Connect your Motive account and your IVMRs, IFTA miles and driver timecards are built from your trucks' own Motive data. No exports, no spreadsheets.

What the connection does

Once Motive is connected, Mileage Reports reads your fleet's data every day and puts it to work:

  • IVMRs: vehicle mileage reports for every truck, with odometer readings, state lines, routes and stops. The FedEx IVMR form is filled in for you, or a clean PDF for any other customer.
  • IFTA miles: miles by state for each truck and each quarter.
  • Timecards (optional): hours of service turned into weekly timecards, with each driver's shifts, for payroll.
  • Drivers: your Motive drivers kept up to date in your account.
  • Maintenance and reminders: service due by the miles your trucks actually run, and driver papers coming up for renewal.

Cost

Mileage Reports is a separate service with its own subscription; it is not included in your Motive plan. Connecting Motive costs nothing extra, and Timecards are an optional add-on. See mileagereports.com for pricing, or book a demo and we will walk you through it.

Connecting: existing customers

If you already have a Mileage Reports account, connect from inside the app:

  1. Sign in at app.mileagereports.com and open Settings.
  2. On the Motive card, click Connect Motive.
  3. Sign in to Motive as a fleet admin and approve access for Mileage Reports.
  4. You come back to a page that says Motive is connected. That's it: your data starts coming in on its own.

You can also start from Motive's App Marketplace: find Mileage Reports, click Install, and approve. When you come back, click Sign in to finish and sign in with your Mileage Reports username; the connection is linked to your account.

Connecting: new customers

  1. In Motive, open the App Marketplace, find Mileage Reports and click Install.
  2. Approve access for Mileage Reports.
  3. On the page you come back to, click Sign up and tell us about your company.

What we read from Motive

The connection is read-only. We never change anything in your Motive account, and you approve access on Motive's own sign-in page, so we never see your Motive password. With your approval we read:

  • Your company details, users and drivers.
  • Vehicles and assets, and their locations.
  • IFTA trips and summaries.
  • Hours of service logs (used for Timecards).
  • Vehicle and driver utilization, and idle events.

How we handle this data is set out in our Privacy Policy.

Trucks and drivers

Your IVMRs are built by truck number, so each truck's number in Mileage Reports should match its vehicle number in Motive. When you set up, staff can bring your trucks over from Motive in one go. If a truck is added or renumbered later, change it in both places, or write to us and we will line them up.

Drivers come over from Motive by themselves every day, with any changes to their names or details.

Reconnecting

A connection can stop working, for example when the Motive admin who approved it is removed, or when access is taken away in Motive. When that happens:

  • We notice when the daily pull fails, and send you an email with a link to connect again.
  • Or connect again yourself any time: Settings → Motive → Connect again.

Reconnecting picks up where it left off. Nothing already in your reports is lost.

Disconnecting

To stop sharing data, remove Mileage Reports from your connected apps in Motive's App Marketplace. Reports already built stay in your Mileage Reports account. If you are cancelling the service, please also let us know so we can close your account and stop billing.

Questions

How often does data come in?

Every day, on its own. Recent days may be updated as Motive finishes processing them.

Who in our company should connect?

A Motive fleet admin. The connection belongs to your company, not to that person, but it needs someone who can approve apps in Motive.

We have more than one Motive company. Can we connect them all?

Yes. Connect each one, and they can all feed the same Mileage Reports account. Write to us if they should be kept separate.

I connected but the page asked me to sign in. Why?

You started from Motive's marketplace, so we don't know yet which Mileage Reports account is yours. Click Sign in to finish within 7 days; after that, connect again from Settings.

A truck is missing from my IVMRs.

Check that its number matches the vehicle number in Motive exactly, and that the truck is active in Mileage Reports. If it still doesn't show, write to us with the truck number.

Do you use Motive for anything else?

No. Your Motive data is used only to build your reports and run your account.
