Mileage Reports LLC (“Company,” “we” or “us”) respects your privacy and is committed to protecting it through our compliance with this Policy.

This Policy describes the types of information we may collect from you or that you may provide when you visit our Website https://mileagereports.com and https://app.mileagereports.com (together, the “Website”), and our practices for collecting, using, maintaining, protecting, and disclosing that information.

This Policy applies to information we collect:

  • Through mobile and desktop applications you download from our Website, which provide dedicated non-browser-based interaction between you and our Website.

Children Under the Age of 18

Our Website is not intended for children under 18 years of age. No one under age 18 may provide any information to or on our Website. We do not knowingly collect personal information from children under 18. If you are under 18, do not use or provide any information on our Website or through any of its features. These third parties may use cookies alone or in conjunction with web beacons or other tracking technologies to collect information about you when you use our Website. The information they collect may be associated with your personal information or they may collect information, including personal information, about your online activities over time and across different websites and other online services. We do not control these third parties' tracking technologies or how they may be used. If you have any questions, you should contact the responsible provider directly.

Fleet, Driver, and Settlement Data

Most of what we handle is not information about visitors to this Website. It is operating data belonging to our customers, and we process it on their instruction in order to produce the reports they have asked us for. This section describes it plainly, because it is the most significant data we touch.

Data from electronic logging devices

Where a customer instructs us to, we connect to their electronic logging device (ELD) provider and retrieve the records that provider holds for that customer's vehicles. Those records can include vehicle identifiers, dates and times, distance travelled, the jurisdictions a vehicle passed through, position and route information, engine and odometer readings, and hours-of-service entries associated with a named or numbered driver.

We use this data only to generate the reports and records our customer has subscribed to — mileage records, IFTA and IRP jurisdiction miles, timecards, and related compliance reporting — and to support and improve those services. We do not sell it, and we do not use it to build profiles of individual drivers for any purpose of our own.

If you are a driver, your employer is the one who decides what data is collected about you and why; we hold and process it for them. Questions about that data, requests to see or correct it, and complaints should go to your employer in the first instance. If you contact us directly we will pass your request to them and help them answer it.

Settlements and other documents you upload

Customers upload settlement files, maintenance invoices, and vehicle documents so that we can read them and produce reports. These are stored with the customer's account and kept for as long as the account needs them.

Where a visitor who is not a customer uploads settlement files in order to obtain a free route valuation, we handle those files differently and deliberately: the files are read and then deleted within the same request, and no copy of the file is kept. What we retain is the totals worked out from them — revenue, fuel, truck counts, the settlement weeks covered — together with the figures and answers supplied in the valuation form and the resulting estimate.

Marketplace listings

Information a seller puts into a listing is published on the Website, and a listing is visible to the public without an account. A route listing does not carry the seller's name or company name. Contact details supplied for follow-up are not published, and are used to put a buyer and a seller in touch only where the seller has asked us to.

Messages you send us

When you use a contact or enquiry form we keep what you wrote, the contact details you gave, and technical information about the submission — the IP address and browser it came from — which we use to answer you and to identify and block automated abuse of the form.

How Long We Keep Information

Mileage records, settlement data, and the reports generated from them are kept available to the customer for at least four years, which is the period we advertise and the period an audit is most likely to reach back over. Older data may be retrievable on request. Enquiries and valuations are kept until they are no longer needed for the purpose they were given for, or until you ask us to delete them. Settlement files uploaded by non-customers for a valuation are not kept at all.

Where a customer closes their account, we retain their data for a reasonable period to allow for reinstatement, billing, and any legal or regulatory obligation, and delete or anonymize it after that.

How We Use Your Information

We use information that we collect about you or that you provide to us, including any personal information:

  • To present our Website and its contents to you.
  • To provide you with information, products, or services that you request from us.
  • To fulfill any other purpose for which you provide it.
  • To provide you with notices about your account or subscription, including expiration and renewal notices.
  • To carry out our obligations and enforce our rights arising from any contracts entered into between you and us, including for billing and collection.
  • To notify you about changes to our Website or any products or services we offer or provide through it.
  • To allow you to participate in interactive features on our Website.
  • In any other way we may describe when you provide the information.
  • For any other purpose with your consent.

Disclosure of Your Information

We may disclose aggregated information about our users, and information that does not identify any individual, without restriction.

We may disclose personal information that we collect or you provide as described in this Privacy Policy:

  • To our subsidiaries and affiliates.
  • To contractors, service providers, and other third parties we use to support our business and who are bound by contractual obligations to keep personal information confidential and use it only for the purposes for which we disclose it to them.
  • To a buyer or other successor in the event of a merger, divestiture, restructuring, reorganization, dissolution, or other sale or transfer of some or all of our assets, whether as a going concern or as part of bankruptcy, liquidation, or similar proceeding, in which personal information held by us about our Website users is among the assets transferred.
  • To third parties to market their products or services to you if you have consented to these disclosures. We contractually require these third parties to keep personal information confidential and use it only for the purposes for which we disclose it to them.
  • To fulfill the purpose for which you provide it.
  • For any other purpose disclosed by us when you provide the information.

We may also disclose your personal information:

  • To comply with any court order, law, or legal process, including to respond to any government or regulatory request.
  • To enforce or apply our Website Terms of Use and other agreements, including for billing and collection purposes.
  • If we believe disclosure is necessary or appropriate to protect the rights, property, or safety of the Company, our customers, or others. This includes exchanging information with other companies and organizations for the purposes of fraud protection and credit risk reduction.

Choices About How We Use and Disclose Your Information

We strive to provide you with choices regarding the personal information you provide to us. We have created mechanisms to provide you with the following control over your information:

  • Tracking Technologies. You can set your browser to refuse all or some browser cookies, or to alert you when cookies are being sent, and you can clear your browser's local storage at any time. If you disable or refuse cookies, please note that some parts of this site may then be inaccessible or not function properly — signing in, in particular, requires a cookie.
  • Promotional Offers from the Company. If you do not wish to have your contact information used by us to promote our own or third parties' products or services, you can opt out by sending us an email stating your request to support@mileagereports.com. If we have sent you a promotional email, you may send us a return email asking to be omitted from future email distributions. This opt out does not apply to information provided by us as a result of a product or service purchase, subscription, and the like, warranty registration, product or service experience, or other transactions.

We do not control third parties' collection or use of your information to serve interest-based advertising. However, these third parties may provide you with ways to choose not to have your information collected or used in this way. You can opt out of receiving targeted ads from members of the Network Advertising Initiative (“NAI”) on the NAI's website.

Accessing and Correcting Your Information

If you have an account, you can review and change your own details, and your company's details, from the Settings page once you are signed in. If you want a copy of the information we hold about you, want it corrected, or want it deleted, write to support@mileagereports.com and we will deal with it.

Your State Privacy Rights

Several states — including California, Virginia, Colorado, Connecticut, and Utah — give their residents specific rights over personal information about them. Depending on where you live, those rights may include:

  • To know what personal information we have collected about you, where it came from, what we use it for, and who we have disclosed it to.
  • To receive a copy of that information in a portable form.
  • To have inaccurate information corrected.
  • To have your information deleted, subject to the records we are required to keep.
  • To opt out of the sale or sharing of your personal information, and of targeted advertising based on it.
  • Not to be treated differently for exercising any of these rights.

We do not sell personal information, and we do not share it for cross-context behavioral advertising. To exercise any of these rights, write to support@mileagereports.com or call 610-732-3713. We will verify your request against the information we already hold before acting on it, and we will respond within the time your state's law allows. You may use an authorized agent, and we may ask for proof that they act for you. If we refuse a request we will tell you why, and you may appeal by replying to that decision.

Data Security

We have implemented measures designed to secure your personal information from accidental loss and from unauthorized access, use, alteration, and disclosure. The safety and security of your information also depends on you. Where we have given you (or where you have chosen) a user name and/or a password for access to certain parts of our Website, you are responsible for keeping this user name and/or password confidential. We ask you not to share your user name or password with anyone. We urge you to be careful about giving out information in public areas of our Website. The information you share in public areas may be viewed by any user of our Website.

Unfortunately, the transmission of information via the Internet is not completely secure. Although we do our best to protect your personal information, we cannot guarantee the security of your personal information transmitted to our Website. Any transmission of personal information is at your own risk. We are not responsible for circumvention of any privacy settings or security measures contained on our Website.
